Software built for forklifts, machinery and industrial equipment.

HeyOne runs the whole loop for companies that sell, rent and service forklifts and machines: your website brings the lead, CRM turns it into a quote, every unit you deliver keeps its hour meter and service history, and every repair runs as a work order.

Highlights

See HeyOne at work.

01Website

Every model gets its own page.

Enter a truck once under its brand, series and model. Specs and photos go live on your website, and every quote request from that page lands in your CRM.

A forklift product page on a HeyOne website, with mast options, delivery time and a Request a quote button

02Customer inbox

Every enquiry, one inbox.

Mira answers website chat from your own catalogue, like whether a truck fits inside a container. Chats, forms, Facebook, Zalo and the hotline land in one queue, each with its source and owner.

Mira answering a customer on the website: will this forklift with a triplex mast fit inside a shipping container

03Quotes

A forklift quote approved before lunch.

Truck, battery, mast and attachments come from your catalogue at current prices. Your approval rules apply, and the PDF goes out from your own mailbox.

A forklift quotation approved by the customer, with an electric counterbalance truck and a lithium truck as line items

04Orders

From deposit to handover.

Payment schedule, receipts, the unit reserved by serial number and the workshop’s pre-delivery work, all on one order.

A sales order moving from new order to handover, with amounts paid and workshop progress

05Machines

Every truck keeps its life story.

Serial number, hour meter, owner, documents and every repair on one page, from delivery day to the latest service.

An electric forklift record with its hour meter, next service, warranty and work orders

06Service

Every technician, every job, one board.

Who works on which truck, day by day, in the workshop or at the customer’s site. Overdue jobs carry over on their own, and unassigned work stands out.

The work schedule by technician, with battery and forklift repair jobs, due dates and overdue work

07Customer portal

Your customers see their own fleet.

Hours to the next service, quotes waiting for a reply and repair history on their phone, under your brand. A driver can report a fault in a few taps.

The customer portal on a phone: a quote waiting for a reply and a forklift 104 hours from its next service

08AI

Mira drafts. You press the button.

Ask which trucks are due for service, or for a quote, a contact or a note in plain words. Mira prepares it inside HeyOne and waits for your yes.

The foundation

Four pillars, each a complete story.

Each pillar follows one thing from its first day to its last, in order. Nothing is re-entered along the way.

Interlocked

Open one record, see the other three.

Every record has a position on all four axes. A work order always knows which customer, which order and which machine it belongs to.

Customers and their equipment

A customer is surrounded by their machines.

A customer profile holds their fleet, and each unit holds its history, documents, operators and next due date. That gives your customers a reason to come back to your channel every day.

      An order you cannot skip

      Digitise. Centralise. Then AI.

Three steps, and none of them can be skipped.

      1

      Digitise

Without this step there is no data
      WhyHide

Everything that runs on paper, chat messages and spreadsheets goes into the system: quotes, work orders, acceptance reports, attendance, supplier paperwork.

      2

      Centralise

Without this step AI sees one fragment
      WhyHide

All of it in one database. Five apps joined by integrations means five places for data to drift apart, and nobody can trace where an error began.

      3

      Then AI

This step only works when the first two are done
      WhyHide

Once everything sits in one place, AI can read a photo from the field, turn a supplier's quote into products and costs, and check work against your own standards.

Why most AI projects stall at the pilotHide

The company jumps to step three while its data still lives in each department's spreadsheets. The demo looks good, then it stops. AI rarely needs a stronger model. It needs complete, clean data in one place.

      A new way of working

      Four things change.

AI does not replace the people who run the work. It does four things people cannot do at scale: watch every time, compare every time, remember everything, and favour no one.

      Process on paper
Change it once, the whole company changes
Leaders must be on site to see
Set the standard, AI carries it to every site
Improvement a few times a year
      Continuous, measured, rewarded
      Judged by impression
People far from the office are seen too

      Six AI capabilities

AI drafts. A person presses the button.

Open a card to see what goes in, what AI does, and where a person decides.

      Capability 01

      A conversation becomes a quote

Say what the customer asked for and get a draft quote with every line.

      • Goes in: a chat with the customer, an old quote as a PDF or a photo, or a few typed lines
      • AI does: finds the customer and the items in your catalogue, applies current prices, builds the lines and the terms
      • You decide: you edit it, a manager approves it if it passes your discount or value threshold, then you send

      Capability 02

      Acceptance by photo

The technician shoots on site. AI checks against your criteria and says what is missing.

      • Goes in: photos for each checklist item, as the job template asks
      • AI does: compares every photo with the criteria and reference photos you wrote, and returns pass or fail with the reason
      • You decide: the technician retakes or explains, the manager reads the result before closing, and every override is logged

      Capability 03

      Technician quality in numbers

Everyone is measured with the same ruler.

      • Goes in: every closed job: items done, photos, AI results, due dates
      • AI does: on-time rate, pass and fail counts and jobs closed against the previous period, with a written review
      • You decide: the numbers are for coaching. Nothing is deducted automatically

      Capability 04

Look it up next to the machine

Ask on your phone and get the answer from your own documents.

      • Goes in: your library: catalogues, specifications and service manuals, attached by product line
      • AI does: answers from those documents for the machine in front of you
      • You decide: you open the source document to confirm before you act

      Capability 05

Drop a photo, the form fills in

On customer, product, supplier and stock screens.

      • Goes in: a business card, a registration paper, a catalogue, a delivery note, a screenshot
      • AI does: reads it and fills the form that is open
      • You decide: you check each field and save. It asks before it replaces a phone or tax number already on file

      Capability 06

      Supplier paperwork reads itself

Quotes, proformas and invoices become records.

      • Goes in: a supplier quote, catalogue, proforma, contract or invoice as Excel, PDF, Word or a photo
      • AI does: recognises the supplier, drafts the quote or purchase order, matches or creates the items, estimates landed cost
      • You decide: you compare it with the original side by side, then confirm

The rule: AI drafts, a person confirms. The one automatic path is a quote sent by the website chat. That is a switch you turn on, and anything unusual still goes to a person. Every AI call is logged with its cost.

      Claude and ChatGPT

Run the business in plain language.

Each person creates a private link and adds it to Claude or ChatGPT. From there they ask for real numbers or get work done, with exactly the permissions they have in HeyOne.

      Ask

      "Give me this morning's briefing."

      • Your question
      • A lookup with your permissions
      • Real numbers from your data

      Get it done

"Quote two units of this model for that customer."

      • Your request
      • A draft card
      • The assistant reads it back

      Continuous improvement

Kaizen in ten minutes, not ten weeks.

The process lives in the system, so changing one line changes the next work order for the whole company.

      The old way
      10 weeks
      With HeyOne
      10 minutes

The old way: meet, rewrite, print, train, post it on the wall, police it. With HeyOne: edit the job template, the next work order uses the new standard, AI checks against it.

      Downward

      The standard reaches everyone

Leadership raises the standard in one place and the next job follows it.

      • Edit the criteria in the job template
      • Work orders opened from then on pick up the new standard
      • AI checks each job against the new criteria
      • Jobs already running keep the checklist they started with

      Upward

Technicians propose, approval makes it standard

The person closest to the work knows it best.

      • A technician sends a suggestion for a step while doing the job
      • The manager reviews it and marks it applied or skipped
      • The template changes for the whole company
      • Next period, the numbers show whether it worked

      Motivation

You can reward what you can measure

A change with a date and a number behind it can be paid for.

      • Every template change has a date
      • Jobs before and after are checked with the same ruler
      • Retakes, late jobs and failed items show up as numbers
      • How you share the gain is your policy. The numbers make it possible

      Gemba

Leaders at every site at once

One person cannot stand on ten sites. The criteria they wrote can.

      • Most work happens when no manager is present, and it changes when one is watching
      • A leader's job becomes setting the standard: which step is required, what to photograph, what counts as done
      • AI carries that standard to every job, every shift, every branch
      • It copies judgement you have written down. The clearer the criteria, the closer the copy

      Fairness

People who never meet the boss are still seen

The night-shift technician and the person next to the manager's office get the same ruler.

      • Jobs done, acceptance photos and pass rates are all in the system
      • Productivity is measured the same way for everyone
      • Suggestions carry the name of the person who sent them
      • Good people far from the office stop leaving because they feel invisible

Your products, links and search settings stay exactly as they are, so switching does not cost you your ranking, and the new look is live in about a minute. Preview every template on your own products before you choose. There are free and premium templates. Each one is shown here on a sample business in a different trade.

      Why we never customiseHide

A new company starts from a template you can change at any time. And we do not customise: a system altered for one customer is a system nobody can upgrade. Everyone runs the same version and the differences are configuration, so fixes and new features reach everyone at once.

      • Roles and a permission matrix
      • Sales stages with their checklists
      • Lead sources and customer types
      • Product groups
      • Help on every screen, in two languages

Under the hood, and who it fits

Built so the data can be trusted.

      Isolation in the database

Every row carries its company, and the database filters before it answers. Even a badly written query cannot return another company's data.

Ledgers you can only add to

Receipts, stock movements, attendance punches, meter readings and the audit log can be added to and never edited. A mistake is corrected by a new line.

      Read-only before anything else

When a plan ends the account turns read-only for a grace period instead of switching off, so you can still open, search and export.

It fits any business that quotes, delivers and looks after what it sold. It is strongest where the thing you sell has a serial number.
